What event management companies plan and run
Planning starts with objectives, audience, budget and date, then venue sourcing, site visits and contract negotiation, including room blocks and food and beverage minimums. The event manager builds the run of show, books suppliers for audio-visual, staging, catering, decor, transport and entertainment, and manages speakers and agenda content.
For conferences, the scope extends to registration and ticketing platforms, attendee communications, badging, sponsor and exhibitor packages, session capture and streaming for hybrid audiences, and an event app. Incentive trips and offsites add flights, accommodation, activities and destination management partners.
On the day, the company runs production, supplier coordination, staffing and contingency plans. Afterward it delivers reconciliation of the budget, attendee feedback, lead lists for sponsors and a report against objectives. Pricing is a management fee per event, or an annual retainer for a program of events.
