A significant challenge faced by many businesses using Microsoft 365 is managing resource sprawl. Typically, any employee can create new resources like channels, groups, or sites, which can alleviate some of the workload on IT teams but may also lead to complications. As organizations expand, overseeing the growth of Teams channels and SharePoint sites becomes increasingly intricate. In this scenario, the client found themselves with approximately 50,000 SharePoint sites, many of which were created but later abandoned when they no longer met the needs of the creators. To address this, we developed a self-service provisioning tool featuring an easy-to-use, form-based interface. This tool enables employees to request and generate new resources like SharePoint sites, Teams, and M365 Groups. If a request satisfies specific conditions, the resource is created automatically. This system alleviates pressure on the internal IT team while keeping resource sprawl in check. The user-friendly form does not require any technical skills and incorporates various question formats, including open-ended responses, dropdown lists, and user selection options, allowing the business to gather a wide range of data related to the request.
