Automated Patient Communication & Documents System
INTRODUCTION. After implementing its AI sales system, Genesia recognized inefficiencies in patient communications following a sale. Once a test was purchased, patients were required to fill out pre-care forms, sign consent documents, and receive sample collection instructions. These processes were handled manually, leading to delays, increased administrative burdens, and coordination problems among patients, partner labs, and internal teams. Genesia required an automated, secure, and compliant solution. CHALLENGES. The post-sale operations depended on manual document distribution, follow-ups for missing forms, and tracking statuses. The need for legally valid digital signatures on consent forms added to the complexity. Patients faced inconsistent or delayed communication, while the back office was bogged down by repetitive tasks. CRM updates were fragmented and entered manually, raising the risk of errors and compliance issues. The system needed to manage sensitive medical information while aligning with Genesia’s workflows. SOLUTION. We developed a comprehensive automation system using n8n to coordinate the entire post-sale process. After a purchase, patients automatically received customized instructions and digital consent forms. A secure digital signature solution allowed signing from any device, alongside automated verification and storage. Role-based document generation created personalized PDFs for patients, partner labs, and internal teams. The system provided real-time synchronization with the CRM, sent automated reminders, and escalated exceptions as necessary. IMPACT. The administrative workload decreased by 70%, document completion rates rose from 65% to 94%, and the time from purchase to sample collection was reduced by 5 days. Over 1,500 workflows were processed each month with almost no errors, CRM accuracy improved, and compliance documentation became automatically ready for audits, greatly enhancing patient satisfaction.
