From Ticket Chaos to System That Actually Runs IT
When the client approached us, their IT team was putting in a lot of effort but was feeling overwhelmed. They were inundated with requests for onboarding, access, contractor modifications, and support from various sources—emails, messages, and manual follow-ups. The lack of structure meant that important tasks were falling through the cracks, approvals were lagging, and there was no clear visibility into ongoing projects. The IT department wasn't failing; instead, they were perpetually trying to catch up. That's where we came in. At RedFerns Tech, our goal was to create a reliable system. We implemented Freshservice as the main platform for all IT requests and developed a structured service catalog with SLA enforcement, ensuring that every request followed a defined process and nothing got overlooked. To address the approval bottleneck, we established multi-level workflows that allowed requests to automatically route to the appropriate personnel without unnecessary back-and-forth communication. We also automated key lifecycle processes such as employee onboarding, contractor onboarding, extensions, and offboarding, making sure each step was clearly defined, monitored, and completed without manual intervention. To expedite documentation, we integrated Adobe Sign directly into our workflows, allowing contracts to be generated and signed seamlessly within the process. We improved communication by setting up automated email notifications to keep everyone informed without needing constant follow-ups. Furthermore, we created journey-based requests that follow a complete lifecycle and employ conditional logic for various scenarios. By integrating external systems using Power Automate, we ensured data synchronization and workflow continuity across different tools. Lastly, we provided custom dashboards for tracking SLA compliance, request volumes, and team performance. The outcome? Less chaos, quicker execution, and an IT team that finally feels in control.
