Mechanics Bank
Mechanics Bank offers a variety of personal and business banking services, as well as trust, estate, brokerage, and wealth management solutions across California. As a community bank that is expanding, Mechanics Bank upholds a commitment to fostering lasting relationships, promoting regional economic growth, and consistently exceeding client expectations. Following their recent merger with Rabobank NA, Mechanics Bank recognized the need to enhance their digital workspace by merging the two organizations, establishing a new corporate identity, and streamlining their business operations. Both Mechanics Bank and Rabobank NA had their own SharePoint intranets from 2013, but with the merger approaching, they required a new portal for their integrated bank. It was crucial for executive leadership to bring the two entities together under one brand and identity, and they aimed to utilize an updated Intranet portal to connect users, convey essential company messages, and centralize collaborative efforts using Microsoft’s Modern Digital Workplace tools. They sought to improve their digital workspace by implementing a unified Valo intranet, a new information architecture/site map, and a branded company-wide experience.
While collaborating with Mechanics Bank, it was evident that they had numerous innovative ideas and objectives that could be achieved through the combination of the Microsoft collaboration platform and Valo’s Intranet solution, which operates on SharePoint and Teams Online. Klarinet’s team successfully deployed a Valo Modern intranet solution within 45 days. We delivered a tailored Valo Intranet deployment, strategic direction, and ongoing managed consulting services to meet Mechanics' immediate needs and prepare for future developments as the software continues to evolve. Our agreement also included an alert system and other essential business applications. For instance, we developed (1) a Coronavirus Reference Center – a COVID-19 template for Mechanics executives to provide real-time tools for employees and (2) a Valo People Finder that allows users to easily locate colleagues using various search parameters.
We created multiple sites with distinct site collection settings, including a dedicated site for each department. A significant challenge was consolidating sites for legacy items, so we engaged a third party for support in this project to create a unique site collection. Working with each major department, we defined specific taxonomy, design, structure, permissions, and migration to customize site functionality according to departmental preferences. In modern intranets, separate site collections are common when utilizing a flat architecture, which allows for scaling the digital workspace without major restructuring. The advantages of this structure include enhanced flexibility, simplified site management, and easier permissions management. Additionally, we established a social hub accessible to all users for connecting and contributing. This hub served as a centralized location for users to access news, updates, and navigate to other sites while providing a consistent look and feel for the associated sites.
Using Valo's capabilities, we configured web parts to help users quickly access the most relevant information and tools on the intranet. Our focus was on setting up and deploying web parts to support efficient user navigation and task completion. We also trained Mechanics' administrators to customize templates and incorporate new features through structured and ongoing Valo training. The "Content Owner" and "Valo Admin Knowledge Transfer" trainings empowered authors and executives with control over the content displayed on their sites. Klarinet’s team aimed to establish a branded identity for the new intranet, meeting with the organization to identify requirements and applying specific characteristics that aligned with their branding strategy. As an example, we created a customized theme designed to remind users of their organizational values, purpose, and mission.
