GoDaddy and Outlook to Google Workspace Migration
The issue faced during the data migration was that the HiView engineer decided to use an IMAP migration method, which meant that either all user passwords had to be reset or the engineer had to contact each user to obtain their passwords. To reduce disruption for users, the engineer chose the latter option. The Super Asia team was also worried about potentially losing their Outlook email filters that organized incoming mail, as these could not be transferred by the project team. With a lean team of just 25 members, the users had very busy schedules, making it crucial for the project team to minimize downtime.
For the migration, the CloudM tool enabled a quick transfer of all users' data simultaneously. The technical migration concluded in just 5 days, successfully transferring all emails, folders, and attachments under 25MB. Additionally, the domain sherbon.com, which was previously associated with a Google Workspace account that needed to be deleted, was added as a secondary domain for all users.
To address Change Management, the HiView consultant created a Google Site that included training schedules, videos, user manuals, and other support materials. Emails were sent to help guide users through the transition. The HiView consultants conducted two 1-hour training sessions: one for end users focusing on Gmail, Meet, Calendar, Drive, and Contacts, and another for IT leadership discussing essential functions of the Admin Console. Users were very involved during the sessions, especially during the Gmail portion. Since email filters could not be migrated, users received guidance on how to create filters and organize labels in Gmail. The Super Asia team, used to using Outlook, was pleasantly surprised to find that Gmail offered not only similar key features but also additional functionalities. The move to Google Workspace went smoothly.
