Customer-Facing Estimate Approval Workflow

Client: A general contracting company that focuses on home renovations for realtors in Indiana. Industry: Field Services Challenge: The sales representative would send a PDF estimate and, upon receiving a signed PDF back, manually upload it to QuickBooks. They then had to notify the Operations Manager to manually create a work order in Excel for the accepted estimate, which was then distributed to their field crew for scheduling. Average Daily Time Spent: Over 3 hours. Solution: Estimates are now generated in Method:CRM, which automatically syncs with QuickBooks. The sales rep can email the estimate directly from Method to the customer or realtor, who can view it in their customer portal via email. They need to fill out custom approver and access information related to the property before signing the estimate. Once the estimate is signed in the portal, a work order is automatically created for the Operations Manager and field crew team. Email notifications are sent to both the customer/realtor and the sales rep to confirm the acceptance of the estimate. This process has saved them over 3 hours daily by eliminating the need for the Operations Manager to create the work order in Excel and inform the field crew team.

QuickBooks Items List too large

Client: Supplier of testing equipment for the aggregates industry. Industry: Services Challenge: Their QuickBooks Desktop file had become excessively large and extremely slow due to a lengthy list of items, almost half of which were not used in any transactions. Although they needed to maintain a record of these items, it was a primary factor contributing to the sluggish performance. Solution: Archived the unused items within QuickBooks to significantly decrease the file size. Developed a custom item management app in Method:CRM to store these unused items. When any item was utilized in an Estimate/Invoice in Method:CRM, it would automatically be created and synced to QuickBooks. This approach allowed QuickBooks to only reflect the items used in transactions, while Method:CRM retained the rest. As a result, QuickBooks performance improved drastically while they were able to continue tracking all items.
