Topbeat, an Indian startup, serves as a comprehensive hub for music education and training. They offer a distinctive program that makes learning enjoyable by providing instruction in guitar, keyboard, and ukulele for students aged 5 to 15. Initially, they managed everything using spreadsheets, WhatsApp, and various third-party services, but as they grew, managing operations became increasingly difficult. We analyzed their standard procedures, created detailed user story maps for each user type, prioritized features, and gradually developed a web-based operations management system. This system includes multiple dashboards and features for super admins, teachers, and students, enabling class scheduling and video call sessions. Additionally, we implemented a Learning Management System (LMS) module for curriculum delivery and progress tracking, which included various dashboards—some for basic CRUD functions and others with advanced calendars, backend operations, and scheduled workflows. Optimizing speed and staying within the capacity limits of bubble.io's professional plan necessitated efficient database design, which presented challenges, particularly in managing flexible class timeslots for each teacher.
