The differing layouts of these documents (e.g., variations in how line items and totals were presented) rendered automated data extraction unreliable. While OCR could read the text, accurately pulling specific data elements (like net/gross totals, taxes, or project numbers) often required manual input from accountants, particularly for invoices in Greek or Hungarian. It was also essential to allocate expenses accurately to the appropriate internal projects, as vendors frequently did not clearly specify project or contract numbers. Therefore, the client required a solution capable of fully automating the invoice processing—regardless of format or origin—and seamlessly integrating with their current Document Management System (DMS). They chose a customized proprietary Artificial Intelligence solution that combined OCR and NLP to meet their specific needs.

The order processing department comprised 15 staff members whose primary responsibility was to manually input data from documents into the SAP system. The client faced several key challenges, including the need to fully eliminate manual data entry into SAP without altering client habits. Customers could still submit orders in various formats and languages. Step 1: Process Mapping and Identifying Pain Points We initiated the process by mapping out the actual flow of orders within the company, examining the channels, formats, and the order management team’s functions. Orders arrived via emails, PDFs, Excel spreadsheets, scans, and online forms, often in different languages and formats due to the company’s presence in over 110 countries. The main issue was not only the diversity of input sources but also the lack of standardization and the significant variability in the data provided. Step 2: Designing the Solution Architecture We developed a hybrid system that included: - An AI module powered by large language models to interpret contextual details from documents - A data extraction engine that managed OCR, table parsing, and field recognition - A data validator to ensure completeness, accuracy, and compliance with SAP - An SAP integration API to directly input structured data into the ERP system without human assistance Step 3: Model Fine-Tuning with Client Data We trained the model using actual client documents, adhering to data protection regulations, which enabled: - Recognition of product names and material codes - Matching of units, pricing, and contract specifics - Comprehension of multilingual order contexts Step 4: Implementation and Ongoing Optimization After deployment in the production environment, the system underwent continuous monitoring and optimization.

The main objective was to automate the separation and classification of multi-page paper and scanned documents. The solution had to effectively manage noise—such as irrelevant pages, rotated scans, and varying layouts—while maintaining high accuracy in detecting document boundaries and correctly categorizing them. Achieving this required sophisticated image and text processing along with a comprehensive understanding of the client's internal business processes. The project was carried out in multiple phases, which included data exploration, development of machine learning (ML) models, and business-specific logic tailored to the client's requirements. The solution implemented involved: 1. Developing models to identify document boundaries within page sequences, utilizing binary classification of page pairs to determine if adjacent pages belong to the same document, thereby enabling the automatic organization of pages into distinct document units. 2. Creating document classification models to direct documents into the correct categories, such as routing invoices to accounting and forms to billing, thus eliminating the need for manual sorting and reducing delays. 3. Fine-tuning transformer-based models—advanced AI algorithms that can interpret layout and text akin to human capability (Document AI). Training these models on client data significantly enhanced accuracy. 4. Designing post-processing rules to ensure that model outputs align with business expectations; for instance, a document missing a specific reference number might be flagged for review even if the model considered it valid. Additionally, the project included: exploratory data analysis (EDA) and assessment of data quality, filtering out pages with irrelevant noise, iterative development and testing of separation and classification models, and implementing an application that integrates these models into the client's operational systems. Collectively, these components create a versatile system that not only identifies and classifies documents but also supports subsequent processing.
