NPK “Irlen” has been working on the agro-industria

Agrolaboratory "Irlen" is among the few organizations in southern Ukraine that offer essential services for contemporary farmers, such as analyzing soil samples, seeds, irrigation water, fertilizers, and plants. Previously, at NPK Irlen, the workflow relied on spreadsheets and text documents, with calculations made using mathematical formulas in Excel. For each type of analysis, which number in the dozens, a specific template was utilized where data was manually entered, allowing the spreadsheet to produce the final results. These figures were then manually copied into reports, which were provided to clients in either electronic or printed formats. The client database was maintained separately in another spreadsheet, requiring users to open it and update it with new information whenever conducting a new analysis for an existing client. This approach made the workflow cumbersome, leading to confusion from managing numerous files and the potential loss of vital information. To address these issues, a new system was implemented. Unlike before, where various templates were needed for different reports, this new system generates documents through a sophisticated algorithm that creates tables based on the entered data, ensuring no empty or unused fields are present. Each employee responsible for specific analyses receives a notification upon receiving a new request and can process it immediately. The system also assigns access to various functions based on job roles to enhance security and usability. Additionally, laboratory specialists can create recommendations for improving agricultural practices based on analysis results, such as suggestions for fertilization, changing irrigation water sources, or crop rotation, at the client's request.

Tender platform for suppliers

The ArtVinyl company

**Problem:** ArtVinyl is a company that supplies finishing materials for the furniture industry from various Asian countries, including China, South Korea, and Taiwan. Deliveries start at a minimum of 20 tons, or one 20-foot container. Due to the unpredictable nature of these shipments, establishing long-term contracts with transport companies is not practical; however, there is a need for prompt identification of carriers when required. To address this issue, ArtVinyl has decided to develop a closed tender platform. This approach is both advantageous and user-friendly for the company and the transporters. The choice of a closed system is intentional, as it restricts participation in tenders to transport companies that have been vetted and proven reliable. As a result, this focus has led to the loss of some potential clients. Additionally, due to the reasons mentioned, compiling interim reports is time-consuming and requires multiple employees. **Solution:** The tender platform is a web-based application that connects transport companies with ArtVinyl's supply department. Transport company registration is handled manually by an administrator, who inputs essential data such as the company's name and legal information. Once registered, a representative from the carrier can access a personal account to view ongoing tenders and submit applications, including their own terms. This account also allows them to receive updates about new tenders as well as notifications regarding the acceptance or rejection of their applications or their success in tenders. The administrator creates new tenders, specifying the application deadlines and providing all necessary information for the sea carriers, including loading and unloading ports, container types, weight and description of the cargo, and estimated freight costs.

Production management involves multiple factors that require effective communication across various departments, strict control over the costs of raw materials and supplies, timely processing of customer requests, and accurate information for making strategic decisions. Initially, BrookStroy managed its records using Excel for warehouse data and AmoCRM for potential customer information. This resulted in delays in document flow between the sales and accounting departments, making it challenging to gather specific order information. Data related to customers and products had to be sourced from different systems and merged, which was time-consuming. Additionally, some employees exploited the system’s shortcomings to avoid work. The UpperCode IT team successfully addressed these issues by developing an enterprise management program that organizes all production and marketing processes effectively. The program includes a “Sales” section for managing leads and orders, tracking payments and returns, overseeing cost items, and obtaining information on counterparties and suppliers. The “Warehouse” section consolidates data on finished products, including their volumes and specifications. The “Production” section provides insights into the plant's current workload, while the “Shipping” section combines sales and logistics data. According to BrookStroy's owners, the new enterprise management program has facilitated optimization of business processes and helped identify employees hindering company growth or engaging in theft. The system also implemented synchronization with customer acquisition channels and integrated external software to enhance operational efficiency. The client database is now securely stored, and owners can access management information in real-time via smartphones.
