Faster Gift Processing for California Nonprofit

Regional Animal Welfare Organization

A regional animal welfare organization in California approached ProsperSpark with a donation processing workflow that had become overly manual and unsustainable. They needed to transfer donation data from their fundraising platform to DonorPerfect, but this process was complex. Each transaction had to be verified against existing donor records, carefully matched, formatted correctly, and processed differently depending on gift type, anonymity, or incomplete information. This created a significant bottleneck for the team and diverted time from other critical tasks. ProsperSpark developed an API-based automation to facilitate the transfer of donation data to DonorPerfect, implementing matching logic, creating or updating records, managing exceptions, and providing daily reports. Importantly, the workflow incorporated a review process for any items the system could not confidently process independently, allowing the client to maintain both speed and control. As a result, the organization achieved a more organized and sustainable approach to their daily gift operations. According to the client's Gift Processing Manager, the project decreased a significant one-time workload and key bottleneck in the gift processing by approximately 80%. Additionally, a daily review step was integrated into the workflow so staff could verify transactions and manually input any data that wasn't automatically imported. The true value of this project lay not just in the automation itself, but in the redesigned process that effectively supported their operations. Instead of depending on repetitive manual tasks to manage, review, and reconcile donation data, the organization now benefits from a system that automatically handles standard cases, clearly identifies exceptions, and allows staff to focus on more meaningful, high-value work.

Doubled Student Capacity, Fewer Admin Tasks

Chicago Youth Mentorship Nonprofit

A nonprofit organization in Chicago focuses on mentoring Black and Latino/x boys during their crucial transition into high school. Although the team is small and deeply engaged in their work, they faced significant challenges with their data management, relying on Google Drive spreadsheets and emails without synchronization or a centralized student profile. To find a straightforward answer to the question, “How is this student doing?”, staff had to navigate multiple spreadsheets, reconcile different versions, and manually compile information on attendance, notes, registrations, and grades. ProsperSpark restructured their operations using Airtable, consolidating information related to students, mentors, parents, events, and communications into interconnected records, along with user-friendly Interfaces for the team to follow guided screens instead of complex grids. They also introduced a color-coded “flags” system to make key statuses quickly visible, focusing on workshop attendance, mentor involvement, tutoring participation, and tracking quarterly GPAs against a target of 3.0 or higher. Next, they tackled the significant task of outreach. The nonprofit engages with students, mentors, and parents in both English and Spanish, tailoring messages based on RSVP status and the timing of events. This complexity was automated through personalized, segmented email sequences that are scheduled and trigger appropriate follow-ups without the need for manual list management or mail merges. The results were immediate: a key coordination task that previously took around 30 minutes was reduced to just 5 minutes. The team transitioned from a reactive to a proactive approach, utilizing real-time data to inform outreach and interventions. Moreover, the improved system enabled them to expand from 20 to 40 students annually without increasing full-time staff.

Stronger ERP Data for U.S. Defense Contractor

Mission-Critical Defense Contractor

A major defense contractor encountered significant internal challenges during a complex ERP consolidation project after losing essential analyst support. Despite this setback, they needed to organize, classify, and unify data from various ERP systems within tight deadlines and a highly regulated environment. Delaying the work wasn’t an option, and they couldn't wait to rebuild their workforce first. ProsperSpark intervened with structured assistance utilizing Excel, Power Query, VBA, and project management. Operating on client-provided devices within the client's security protocols, the team helped evaluate the source data, standardize classification methods, and develop a more systematic approach to the consolidation process. This task went beyond simple spreadsheet work; it was a business continuity issue requiring precision, uniformity, and an adaptable strategy matching the operational environment. As the project advanced, ProsperSpark transformed a process reliant on individual knowledge into a more organized workflow. Classification accuracy improved from around 30% to 99.5%, aided by creating over 300 classification rules to ensure consistent management of transaction scenarios. Equally important, the project was completed on schedule, preventing the client from needing to hire an additional full-time analyst. Ultimately, the client not only received a finished product but also gained a more robust process for future consolidation efforts, reduced dependency on individual analyst expertise, and a stable framework for handling similar tasks in the future. For a defense organization functioning in a secure and high-pressure setting, such repetition and continuity are just as crucial as efficiency.
