Doubled Student Capacity, Fewer Admin Tasks

A nonprofit organization in Chicago focuses on mentoring Black and Latino/x boys during their crucial transition into high school. Although the team is small and deeply engaged in their work, they faced significant challenges with their data management, relying on Google Drive spreadsheets and emails without synchronization or a centralized student profile. To find a straightforward answer to the question, “How is this student doing?”, staff had to navigate multiple spreadsheets, reconcile different versions, and manually compile information on attendance, notes, registrations, and grades. ProsperSpark restructured their operations using Airtable, consolidating information related to students, mentors, parents, events, and communications into interconnected records, along with user-friendly Interfaces for the team to follow guided screens instead of complex grids. They also introduced a color-coded “flags” system to make key statuses quickly visible, focusing on workshop attendance, mentor involvement, tutoring participation, and tracking quarterly GPAs against a target of 3.0 or higher. Next, they tackled the significant task of outreach. The nonprofit engages with students, mentors, and parents in both English and Spanish, tailoring messages based on RSVP status and the timing of events. This complexity was automated through personalized, segmented email sequences that are scheduled and trigger appropriate follow-ups without the need for manual list management or mail merges. The results were immediate: a key coordination task that previously took around 30 minutes was reduced to just 5 minutes. The team transitioned from a reactive to a proactive approach, utilizing real-time data to inform outreach and interventions. Moreover, the improved system enabled them to expand from 20 to 40 students annually without increasing full-time staff.
