Automating Water Treatment Operations for DS Water

DS Water

DS Water provides water hygiene and treatment services throughout the UK. The team was in search of a way to optimize data collection, visit scheduling, paperwork, and client billing, along with facilitating the exchange of essential data between their apps. Administrative tasks presented significant challenges, making the implementation of an automated system a top priority. We utilized Google Sheets to create an automated database solution that drastically improved the efficiency of managing client visits and paperwork. We introduced multiple Jotforms that automate the generation of scheduled events, contracts, client reminders, internal notifications, and invoices through QuickBooks. The following applications were automated: ⚡ Jotform ⚡ Google Sheets ⚡ Google Calendar ⚡ Google Drive ⚡ QuickBooks ⚡ Gmail ⚡ Outlook. Operations and team communication at DS Water are now fully automated, resulting in a time savings of about 160 hours each month, which is equivalent to one full-time employee.

Automating Social Media Posts for Smokin' Oak Wood

Smokin' Oak Wood-Fired Pizza

Smokin' Oak is a franchise that specializes in wood-fired pizza and operates more than a dozen restaurants. Each location maintains its own Facebook and Google My Business pages. To streamline social media posting across these pages, the company sought a way to automatically share new Facebook posts on each location's Google My Business page. We utilized Zapier to automate this process for all locations. A separate zap was created for each restaurant, using the "New Post" trigger from Facebook Pages to identify fresh posts and gather all pertinent information about them in Zapier. We then set up an action to publish this information on the respective Google My Business profiles using the 'Create Post' feature, mapping the variables from the Facebook trigger to the necessary fields. As a result, anytime a new post is added on Facebook, it is automatically duplicated on Google My Business. Since the company posts content daily, this automation saves the marketing team countless hours each week.

Automating Invoice Operations for Smart ERC

Smart ERC assists its clients in securing employee retention tax credits. The team required an efficient method to generate invoices automatically in QuickBooks from their HubSpot CRM. With a high volume of invoices sent weekly, managing the creation and distribution of these invoices was a tedious and time-consuming task. We implemented an automation solution that seamlessly generates invoices in QuickBooks using data pulled from Smart ERC's HubSpot account. This system retrieves contact and company information from HubSpot to fill out each invoice, which is then automatically sent to the client upon creation. Automated apps include: ⚡ HubSpot ⚡ QuickBooks ⚡ Gmail ⚡ Outlook. As a result, Smart ERC now saves countless hours weekly since the entire invoicing process is fully automated.
