Increasing the discoverability of R&D documents

Our client is a prominent global agricultural company, employing more than 49,000 individuals across over 100 nations. This global presence facilitates extensive research but also presents numerous challenges. As their research and development (R&D) became more globalized, they found that while the volume of research documents increased, their ability to effectively learn from these resources diminished. The client encountered multiple issues: - They had documents that were over 70 years old, yet still valuable; - Information was scattered across various data silos, both internally and externally; - The absence of a centralized search system made it increasingly challenging to locate existing research. Every new project necessitated spending time and resources searching through different silos for pertinent documents, which extended and complicated the research phase. To address this, the client aimed to create a searchable information asset for their global R&D from their existing documents. The initial phase involved data integration: 1. Datavid developed components to extract data from various internal file systems and external sources. 2. The following step ensured the system could identify and eliminate duplicate records across databases. 3. They also implemented the detection and extraction of sections from the table of contents to aid in more precise classification of information. 4. The documents were then organized in a MarkLogic database. 5. Lastly, they built a solution that facilitated cognitive search across the client's centralized knowledge base. With Datavid's synonym search capability, querying a specific entity retrieves all related references in the database. The resulting system enables our client to conduct research more efficiently and effectively, providing access to over 16,132,045 internal and external documents from 22 different sources.

Effectively cutting costs for a complex system

Our client is leading the charge in providing innovative healthcare solutions to patients globally, which generates substantial data for researchers. They opted for MarkLogic as their Data Hub solution but faced several challenges after implementing a complex system that spanned multiple departments. While purchasing additional licenses for their MarkLogic database was an option, we assisted the client in making the system more efficient and high-performing. Datavid conducted an initial architecture review of the system to pinpoint areas for improvement and cost-saving opportunities. This review revealed that the system's delivery model was inefficient due to a lack of essential automations, resulting in unnecessary expenses. We identified two main areas of focus: 1. Architecture: Datavid produced a report outlining steps for enhancing the system's design, complete with cost estimates and delivery timelines. 2. Delivery model: We proposed an integrated continuous delivery pipeline to automate the release of new features. Datavid carried out several Proof of Concepts (PoCs) to validate these solutions prior to their implementation in production. Both areas are now under continuous development (with the delivery pipeline launched in July 2021), and the client is already witnessing advantages. The architectural redesign has addressed performance issues, leading to significant cost reductions and increased efficiency. Additionally, the client has experienced a notably shorter delivery cycle, from ideation through development to production. These improvements are steering the client toward their objective of minimizing costs and optimizing system efficiency while ensuring a positive user experience.

UK Gov: From ticket overload to lowest volumes

The Department operates throughout the UK to assist individuals and communities. They presented Datavid with two main challenges: reducing the number of support tickets and lowering maintenance costs over time. These issues had been a concern for the department for some time, causing inefficiencies and disappointing user satisfaction. The Department aimed to minimize the resources needed for managing and resolving support issues, ultimately to save money. Given the high volume of support tickets, the client required a reliable partner to optimize their investment in MarkLogic. When tasked with this challenge, Datavid approached it with an iterative strategy to achieve their goal of reducing ticket volume. We started by categorizing support tickets into a matrix, which helped identify improvement areas that were previously difficult to visualize. Our developers then built a library of reusable scripts to address common issues, clear the backlog of tickets, and keep current tickets managed. The strategy focused on enhancing frequently occurring processes within the system and introducing self-service options for users, enabling them to continue their work without waiting for support. These measures significantly lowered the number of tickets generated. Additionally, our library of reusable scripts alleviated the workload on support staff by automating data extracts, eliminating the need for manual sorting. To implement this solution, we tracked monthly trends in support tickets and examined how user needs evolved over time. To this day, we encourage users to provide feedback through an online survey, which we regularly review to identify potential improvements.
