Our consulting team recommended using SharePoint Online (part of the Office 365 platform) for their Intranet implementation, which was accepted based on their needs and goals. Following their design specifications, a master page was created and put into action. The landing page featured announcements from the CEO, the Board’s Vision Statement, quick links, a picture gallery, and a weather widget. To facilitate collaboration, out-of-the-box (OOTB) Yammer groups were set up in the web parts on each department's home page. In response to the HR Department’s needs, various forms were developed to handle employee requests, including forms for onboarding, changes to personal information, and credit limit adjustments. These OOTB forms were customized with JavaScript to enable data toggling (Hide/Show) per their specific requirements. For the Finance department, a term store was established to tag location centers for managing financial report documents. When a financial report was uploaded to the centralized repository with a tagged location, a copy would automatically be generated in their HQ document library. OOTB approval workflows were also implemented for several forms, such as those related to Fleet Management, Building Maintenance, Contract Requests, Invoice Approvals for employees, and Credit Limit Change Forms, all of which allowed for image uploads as needed. Additionally, for the IT department, an Issue Equipment form was created in InfoPath for tracking equipment details for physical asset management and auditing.

SJHC was operating on the MOSS 2007 platform. To automate the Capital and Operational Expense Request processes, a decision was made to create a custom solution that would streamline the entire financial workflow using MOSS 2007 and Microsoft Visual Studio. This solution included application pages, event receivers, branding files such as CSS and jQuery, and state-machine workflows for each financial process. Given that these processes comprised multiple stages requiring a back-and-forth approach, a state-machine workflow was designed to oversee budget approvals at each stage. When a budget approval request is initiated, it progresses through the steps based on the approvals it receives until it reaches the final approval stage. At any point, a request can either be approved or sent back for revisions. Workflows were specifically created for both the Capital and Operational Expense requests. Additionally, a dashboard was developed to help users track pending tasks and their current status. A custom progress bar was also implemented to visually represent the workflow's progress. Following the launch of SharePoint 2010, SJHC decided to migrate their existing MOSS 2007 environment to leverage the updated features of Microsoft SharePoint 2010. This migration was conducted through a content database migration approach, and some upgrades were made to the custom solution, thereby enhancing the financial process functionalities with SharePoint 2010's new capabilities. After the release of Microsoft SharePoint 2013, another content database migration was carried out to transition from SharePoint 2010 to SharePoint 2013, along with further enhancements to the custom solution. The use of the SharePoint platform effectively automated the budgeting processes for Capital and Operational expenses.
